Data Rights, Access & Deletion

1. Overview

This notice explains your rights regarding the personal data you submit to the AGSOSA platform, including how to request access, correction, export, or deletion of your information. The Association is committed to transparency in how member and applicant data is handled and to providing meaningful control over your personal information. These rights apply to both applicants (who have submitted an application but do not yet have an account) and activated members (who have completed the invitation-based activation process).

2. Right to Access

You have the right to access the personal data the Association holds about you. For activated members, most data is directly accessible through your account settings and profile page. If you require a comprehensive summary of all data associated with your account — including administrative records, consent logs, agreement execution records, invitation history, and verification records — you may submit a formal access request. For applicants who do not yet have an account, you may submit an access request by contacting the Association using the email address associated with your application. Access requests will be acknowledged within seven days and fulfilled within thirty days of receipt.

3. Right to Correction

You have the right to request correction of inaccurate or incomplete personal data. Activated members may update most profile and contact information directly through the Platform at any time. For corrections to identity or verification records (such as your official name or graduation year), you must submit a correction request to the Association, which may require supporting documentation. Corrections will be processed within a reasonable timeframe.

4. Right to Data Export

You have the right to request a machine-readable export of the personal data you have submitted to the Platform. Exports will be provided in a commonly used format (such as JSON or CSV) and will include your profile data, contact information, privacy settings, application data, and other information you have directly submitted. Export requests will be fulfilled within thirty days of receipt.

5. Right to Deletion

You have the right to request deletion of your account and associated personal data. Upon receiving a deletion request, the Association will delete or anonymise your personal data, subject to the following limitations:

5.1 Governance and Institutional Records

Certain records may be retained where necessary for the Association's governance, legal compliance, or institutional recordkeeping. This includes records of membership verification, formal Association decisions involving you, and election or voting records.

5.2 Consent and Legal Compliance Records

Consent logs, acknowledgement records, declaration records, agreement execution records, and related legal compliance data are retained indefinitely as evidence of lawful data processing and contractual acceptance. These records may be anonymised but will not be fully deleted.

5.3 Application and Invitation Records

Application records, including review decisions and invitation issuance history, may be retained for institutional recordkeeping purposes. Rejected application records are retained for a minimum of twenty-four months.

5.4 Dispute and Investigation Records

Where your data is relevant to an ongoing or reasonably anticipated dispute, investigation, or enforcement action, the Association may retain relevant data until the matter is resolved.

5.5 Aggregate and Anonymised Data

Anonymised or aggregated data derived from your information (which cannot be used to identify you) may be retained for statistical, historical, or operational purposes.

6. Account Closure vs. Association Records

Closing your Platform account does not automatically erase all records the Association holds about you. The Association's alumni records and institutional archives may contain information about you that predates the Platform or that serves institutional purposes beyond your individual account. If you wish to discuss the scope of data retained after account closure, please contact the Association directly.

7. How to Submit a Request

Data access, correction, export, and deletion requests may be submitted through: • Your account settings on the Platform (for self-service corrections and exports where available) • Written request to the Association at the contact details provided below All requests will be verified to confirm your identity before processing. The Association reserves the right to decline requests that are manifestly unfounded, excessive, or that would compromise the rights of other members or the Association's legitimate interests.

8. Response Timeframes

The Association will acknowledge all data rights requests within seven days. Substantive responses — including data exports, corrections, and deletion confirmations — will be provided within thirty days. Where a request is complex or requires additional verification, the Association may extend this period by an additional thirty days, with prior notice to you.
