Cookie Policy

This Cookie Policy explains how the Ajara Grammar School Old Students Association ("AGSOSA," "the Association," "we," or "us") uses cookies and similar technologies on the AGSOSA digital platform ("the Platform"). This Policy should be read together with our Privacy Policy, which provides additional information about how we collect and use personal data. By continuing to use the Platform after being presented with the cookie notice, you consent to the use of cookies as described in this Policy. You may adjust your preferences at any time as described in Section 6.

2. What Are Cookies

Cookies are small text files that are placed on your device (computer, tablet, or mobile phone) when you visit a website. Cookies are widely used to make websites work efficiently, to improve user experience, and to provide information to the operators of the website. Similar technologies include local storage, session storage, and browser fingerprinting techniques. References to "cookies" in this Policy include these similar technologies unless the context requires otherwise.

3. Cookies Currently in Use

The Platform currently uses only strictly necessary cookies and local storage. As of the effective date of this Policy, no analytics cookies, advertising cookies, or third-party tracking cookies are deployed on the Platform.

3.1 Strictly Necessary Cookies and Local Storage

These are essential for the Platform to function and cannot be disabled. They include: • Authentication session tokens (managed by the authentication infrastructure) — these maintain your login state and enable secure access to the member area. • Multi-factor authentication (MFA) session data — these enforce MFA requirements during login and activation. • Cookie consent preference (stored in localStorage under "agsosa_cookie_consent") — this remembers whether you have interacted with the cookie notice banner and your preference regarding non-essential cookies. • CSRF protection tokens — these protect against cross-site request forgery attacks. These cookies and local storage entries do not collect information about you for marketing or advertising purposes. Without them, the Platform cannot operate securely.

3.2 Functional Cookies

The Platform does not currently deploy any functional cookies beyond those classified as strictly necessary. If functional cookies are introduced in the future (for example, to remember display preferences or form state), this Policy will be updated accordingly.

3.3 Analytics Cookies

The Platform does not currently deploy any analytics cookies or third-party analytics services. No user tracking, page-view analytics, or behavioural profiling is performed. If analytics cookies are introduced in the future, this Policy will be updated, and you will be given the opportunity to consent to or decline their use through the cookie notice banner. The "Accept All" option on the cookie notice banner is provided to accommodate future non-essential cookies. Selecting "Accept All" at this time has no additional effect beyond essential cookies, because no non-essential cookies are currently in use.

4. Third-Party Cookies

The Platform does not currently set any third-party cookies. No advertising cookies, retargeting cookies, or social media tracking cookies are used. We do not sell, trade, or otherwise transfer cookie data to third parties for commercial purposes. If the Platform integrates third-party services in the future that set their own cookies, this Policy will be updated to disclose those services and their cookie behaviour.

5. Data Collected Through Cookies

The strictly necessary cookies and local storage entries used on the Platform collect the following categories of information: • Session identifiers and authentication tokens (for login state management) • Cookie consent preference (whether you accepted essential-only or all cookies) This information is processed in accordance with our Privacy Policy. Authentication-related cookie data is retained only for the duration of your session or, for persistent login cookies, until you log out or the cookie expires. The cookie consent preference is retained for twelve months from the date of your most recent consent action.

6. Managing Your Cookie Preferences

You can manage your cookie preferences in the following ways: • Cookie consent banner: When you first visit the Platform, you will be presented with a cookie consent notice that allows you to accept all cookies or accept only essential cookies. • Browser settings: Most web browsers allow you to control cookies through their settings. You can configure your browser to block all cookies, block third-party cookies, or delete cookies when you close your browser. Please note that disabling essential cookies may prevent you from using certain features of the Platform, including logging in. • Clearing cookies: You can clear all cookies stored by the Platform at any time through your browser settings. Note that this will end your current session and you will need to log in again. • Resetting consent: You may clear your consent preference by clearing localStorage in your browser, which will cause the cookie notice banner to reappear on your next visit.

7. Cookie Retention Periods

Different cookies have different retention periods: • Session cookies are automatically deleted when you close your browser. • Authentication cookies persist until you log out or until the session expires (as determined by the Platform's security settings). • Consent preference (localStorage) persists for twelve months from the date of your most recent consent action, or until you clear it manually. • No analytics cookies are currently in use, so no analytics retention period applies.

8. Updates to This Policy

We may update this Cookie Policy from time to time to reflect changes in the cookies we use, changes in applicable law, or improvements to the Platform. Each version will be identified by a version number and effective date. Material changes will be communicated through the Platform.
